This Privacy Policy explains how Coalesce Eventz India Private Limited (“we”, “us”), organiser of FOAID (Festival of Architecture & Interior Designing), collects, uses and protects your personal data when you use the FOAID website, web app and mobile app (the “Platform”), register for our events or apply for The FOAID Ripple Club. We process personal data in accordance with the Information Technology Act, 2000, the rules made under it and the Digital Personal Data Protection Act, 2023.
Information you give us
- Registration: name, email, phone and alternate phone, company, designation, profession, city, state, website or social handle, edition and day; date of birth if you choose to share it.
- Ripple Club application: your practice details, project types and stages, brand interests, preferred meeting days, portfolio links and the answers you give in the application.
- Travel (selected members): flight ticket details (PNR, flight, dates) and the ticket file you upload, so we can verify travel and arrange your stay.
- Payments: the amount, date, UPI transaction ID (UTR) and any payment screenshot you choose to upload. Payments are processed by our payment partners (such as Razorpay and your bank / UPI app); we never receive your card number, CVV, net-banking password or UPI PIN.
- App content: profile details, photos you post, questions, poll votes and meeting requests.
Information created when you use FOAID
- Your visitor pass ID and QR code; QR scans at booths and sessions; Ripple Club meeting check-ins; connections, saved items, points and badges.
- Device push-notification token (if you allow notifications), device type and app version, and your position on the venue map only when you set it yourself. We do not track your GPS location.
- Server logs (IP address, time, pages visited) for security and abuse prevention.
Event photos and “Find me”
Photos taken at FOAID are shared with attendees in the app’s Memories section. To help you find photos of yourself, we convert faces in event photos into numeric face codes. If you use the optional “Find me” selfie scan, your selfie is processed in your own browser into a numeric code that is compared with the event photos; the selfie image is not uploaded and the code is not stored. You can choose not to use this feature at any time. Contact us to request removal of a photo of you.
How we use your information
- To review registrations and Ripple Club applications, confirm selection, and issue badges and passes by email, WhatsApp and the app.
- To match Ripple Club members with relevant brands, schedule meetings, verify travel tickets, arrange accommodation and process reimbursements and refunds.
- To verify payments and send payment confirmations and receipts.
- To run the event app: schedule, venue map, networking, notifications and reminders.
- When you scan an exhibitor’s booth QR, meet a brand in the Ripple Club or choose to share your details, that brand receives your name and professional contact details so they can follow up. Brands you have not interacted with do not receive your details.
- To send event updates and improve FOAID. You can opt out of non-essential communications at any time.
Sharing with service providers
We share data only with providers who help us run FOAID, under confidentiality obligations: hosting, email delivery (SMTP), WhatsApp messaging (Interakt), push notifications (OneSignal, Google Firebase Cloud Messaging, Apple Push Notification service), payment processing (Razorpay, banks and UPI apps), travel and hotel partners for confirmed members, and, for the optional “Ask FOAID” assistant, an AI provider that processes your question to answer it. We do not sell your personal data. We may disclose data where required by law or to protect our rights and users’ safety.
Retention
We keep registration, application and app data for as long as needed to run FOAID editions, process refunds and reimbursements, and meet legal, tax and accounting obligations; we then delete or anonymise it. Payment records are kept as required by law.
Security
Data is sent over encrypted connections (HTTPS). Uploaded files and badge / QR links are protected with signed, hard-to-guess links, and admin access is restricted to authorised staff.
Your rights
- Access and correct your profile in the app (My FOAID → Edit profile) or by writing to us.
- Withdraw consent or ask us to delete your data. You can delete your app account in Settings → Delete my account or at https://app.foaid.net/delete-account/.
- Ask what data we hold about you, or raise a grievance with our Grievance Officer (below).
Children
FOAID is intended for professionals and students aged 18 and over. We do not knowingly collect data from children.
Cookies
We use essential cookies and local storage to keep you signed in, remember your preferences and keep the app working offline. We do not use third-party advertising cookies.
Changes
We may update this policy. The latest version is always on this page with its “last updated” date.
